2. What personal data do we process?

The personal data we process depends on how you use our website and services. This may include:

  • your name and contact information;
  • address and billing information;
  • order, payment, and transaction information;
  • your IP address and technical information about your device and browser;
  • information about how you use our website;
  • information you provide to us through email, forms, or newsletter sign-ups;
  • information needed to register and manage a license, such as the name of a school or organization, location, class or educational group, and the responsible teacher, educator, or license holder.

We only process personal data that is necessary for the purposes described in this Privacy Policy.

3. Why do we process personal data?

We may process personal data to:

  • process orders and payments;
  • provide digital products and downloads;
  • register and manage licenses;
  • generate personalized digital products;
  • manage access to downloads;
  • answer questions and provide support;
  • send requested free resources;
  • send newsletters and other emails you have signed up to receive;
  • keep our website secure and functioning properly;
  • understand how our website is used and improve our services;
  • measure the effectiveness of our content and marketing where consent is required and you have provided it;
  • comply with legal and tax obligations;
  • maintain records of granted usage rights and, where necessary, establish, exercise, or defend legal claims.

We only process personal data when we have a valid legal basis to do so. Depending on the situation, this may be:

  • performance of a contract, for example when you place an order or purchase a license;
  • consent, for example when you subscribe to a newsletter or agree to certain cookies or tracking technologies;
  • compliance with a legal obligation, for example for financial and tax records;
  • legitimate interests, for example for security, customer service, or protecting our rights, provided that your interests and privacy rights do not override those interests.

When we process personal data based on your consent, you may withdraw your consent at any time.

4. Orders and payments

We use WooCommerce to operate our online store. When you place an order, we process the information needed to complete your order, provide the product, and register any applicable license.

Payments are currently processed through Mollie. The information needed to process your selected payment method is provided to Mollie for this purpose.

For certain processing activities, Mollie may act as an independent data controller, for example when processing payments, preventing fraud, and complying with legal obligations. In those cases, Mollie’s own privacy policy also applies.

The Curious Mind Expedition does not store complete payment card details.

5. Digital products and licenses

When you purchase a digital product that includes a usage license, we process the information needed to register and manage that license. Depending on the type of license, this may include:

  • the name of the school or organization;
  • the school or organization location;
  • the class or educational group;
  • the name of the responsible teacher, educator, or license holder;
  • the type and duration of the license.

We use this information to administer the license, generate personalized downloads, manage access to downloads, and maintain records of the usage rights that have been granted.

License information may be visibly included in the digital product. The product may be provided to the purchaser and, where applicable, to the school or organization for which the license was purchased.

License information and personalized digital products are processed and generated within our own website and hosting environment by default. This information is not provided to an external PDF or licensing service for the purpose of generating these products.

6. Newsletters, free downloads, and contact

We currently use MailerLite for our newsletters and other email communications.

When you subscribe to a newsletter or request a free download that requires sign-up, we process the information needed to send you the requested material and related emails.

You can unsubscribe from marketing emails at any time by using the unsubscribe link at the bottom of our emails.

If you contact us, for example by email or through a form, we use the information you provide to respond to your question or request.

Please do not share personal data about students or other children with us unless it is necessary to do so.

7. Children and privacy

Our website and online store are not intended to collect personal data directly from children under the age of 16.

Our educational materials may be used by children, but children do not need to provide personal data directly to The Curious Mind Expedition in order to use these materials.

If you believe that we have received a child’s personal data without a valid legal basis, please contact us. We will investigate and delete the information where appropriate.

Images of children on our website may have been generated using artificial intelligence (AI). One reason we use AI-generated images is to help protect children’s privacy and minimize the use of identifiable photographs of minors.

8. Website analytics, marketing, and cookies

We use website analytics and marketing services to understand how our website is used and to promote our content. We currently use services provided by Google and Pinterest, among others.

Where consent is required for cookies or other tracking technologies, these technologies are only activated after you have given your consent.

You can change your choices or withdraw your consent at any time through our cookie banner.

9. Who do we share personal data with?

We do not sell or rent your personal data. To provide our services, personal data may be processed by or shared with:

  • Hostinger, for hosting and the technical infrastructure of our website and online store;
  • Mollie, for payment processing;
  • MailerLite, for newsletter subscriptions and email communications;
  • Google, for website analytics;
  • Pinterest, for marketing and measuring interactions, depending on your cookie preferences;
  • administrative service providers, to the extent they need personal data for our administration;
  • government authorities or other parties when we are legally required to provide the information.

We only share personal data that is necessary for the relevant purpose.

When a service provider processes personal data on our behalf, we enter into appropriate data protection arrangements where required. Some parties may act as independent data controllers for certain processing activities and process personal data in accordance with their own privacy policies.

10. Processing outside the EEA

Some of our service providers or their subprocessors may process personal data outside the European Economic Area (EEA).

When personal data is processed outside the EEA, we only use transfer mechanisms permitted under the GDPR. These may include an adequacy decision by the European Commission or Standard Contractual Clauses (SCCs) approved by the European Commission.

11. How long do we keep personal data?

We do not keep personal data longer than necessary for the purpose for which it was collected.
The following retention periods apply to the main categories of data:

  • Order, billing, and administrative records: generally 7 years. Where a longer retention period is required by law, such as for certain records subject to the European Union’s One Stop Shop (OSS) scheme, the longer period applies.
  • Newsletter information: for as long as you remain subscribed. After you unsubscribe, we delete information that is no longer needed. We may retain limited information to ensure that your unsubscribe request is honored.
  • Contact information and correspondence: up to 2 years after the communication has ended, unless we need to keep it longer because of an ongoing order, complaint, or dispute.
  • License information: for as long as the license remains active and afterward for as long as reasonably necessary to document the usage rights that were granted, provide support, or handle a legal dispute. Information that is no longer needed for these purposes will be deleted or anonymized.
  • Cookie, analytics, and marketing data: according to the retention periods stated in our current Cookie Policy.

In some cases, we may need to keep information longer because of a legal obligation or an ongoing legal dispute.

12. Your privacy rights

Under the GDPR, you have several rights regarding your personal data. Depending on the circumstances, you may ask us to:

  • provide access to your personal data;
  • correct inaccurate or incomplete information;
  • delete your personal data;
  • restrict the processing of your personal data;
  • object to certain processing;

We take appropriate technical and organizational measures to protect personal data against loss, misuse, unauthorized access, unauthorized disclosure, or alteration.
